POSITION PURPOSE:

Assist Sales Managers in all facets of sales/marketing/service process, from solicitation of sale through service of event while in-house, including after-event follow-up, by typing, copying, distributing and filing all related correspondence as well as answering and responding appropriately to incoming opportunities for business.

Assist in managing Sales accounts to achieve both hotel revenue goals and guest satisfaction. Assist in soliciting past and new business to ensure all room, food, beverage and meeting room rental goals are achieved or exceeded.

The Sales Coordinator should apply all principles in a manner that embraces, develops, and implements the shared hotel values; Acquisition, Execution & Profitability.

EXAMPLES OF DUTIES:

Acts as Liaison between Sales Manager(s) and clients in Sales Manager's absence. Takes booking inquiry information via phone and electronic channels and prepares proper paperwork.

Enters data, (operates various word processing and other software packages on a personal computer) at 55 wpm to produce contracts, correspondence, forms, memorandum and other documents. Understands written and verbal instructions in English.

Answers telephone and responds to caller inquiries speaking in a clear and pleasant manner. Exercises decision making skills to direct caller’s requests. Understands English speaking callers. Accurately records messages for staff and distributes the written messages to the staff members office in a timely manner.

Organizes files and retrieves documents in appropriate binders in order to maintain essential records used in the department operation. Operates stapler, hole punch, staple remover, and other office equipment. Applies files in vertical file cabinets up to six feet tall by grasping, opening and closing file drawers located at floor level up to five feet high. Organizes items alphabetically and numerically.

Assist in servicing groups at the direction of the Sales Managers including sending sales kits and meeting planner packets, generating Catering contracts, running weekly group resume reports and distributing, completing amenity forms for VIP’s and routing to departments, monitoring and completing group room pickup reports, assisting in completing and distributing banquet event orders. Other essential duties include faxing/e-mailing rooming lists and other requested information to clients on an as needed basis, sending thank you letters to clients, showing clients around the hotel and assisting with other items as deemed necessary by the Sales Managers.

Distributes printed documents to appropriate persons and locations to ensure prompt processing of time sensitive information by hotel and supplier staff. Transports printed documents weighing up to 10 pounds to offices, mailrooms and other locations throughout the hotel building. Retrieves documents from and places documents into proper receptacles located up to 6 feet high. Reads English.

Handles individual reservations for VIP clients. Ensure that all arrangements, including upgrades, are handled properly, coordinating with other departments through oral and written instruction.
